POSITION SUMMARY
Radiology Associates of South Florida is seeking a Practice Coordinator. This position provides administrative and operational support to the vascular surgeons and the interventional radiologists within the practice.

POSITION DUTIES AND RESPONSIBILITIES
  • Coordinate and schedule regular meetings with practice clients, including referring providers and facility partners
  • Assist with creating, tracking, and monitoring key practice metrics and performance indicators
  • Proactively identify and troubleshoot any issues raised by facility sites, referring providers, or radiologists and ensure timely resolution
  • Answer phone calls that come into the practice and respond to missed calls and voicemails Route calls to the correct department
  • Schedule patient appointments
  • Input patient demographics into the EMR
  • Scan documents into the EMR
  • Call patients to notify of upcoming appointment and ensure all required documents are on file
  • Review all hospital consult patients and transfer the patient information into our EMR
  • Create new patient charts form the patients seen in the hospital and transfer hospital documents into patient’s EMR
  • Review and verify insurance, confirm if auth/referral has been received, contact patient or physician’s office to request auth/referral for renal failure and Interventional Radiology patients
  • Manually load the physician schedule and procedures into scheduling platform-Surgimate
  • Input physician Qgenda schedule and verify that it aligns with hospital schedule
  • Assist with front desk coverage
  • Assist with insurance authorization and verification process
  • Arrive to the office on time and be ready to start clinic at 9:00am
  • Adhere to lunch break schedule
  • Be courteous to patients and co-workers
  • Perform daily tasks in a timely manner
  • Answer telephone calls and schedule appointments
  • Adhere to HIPAA regulations
  • Follow office policies and procedures
  • Participate and complete required online trainings and educations
  • Collaborate effectively with physicians, nurses, and other staff members
  • Participate in team meetings and contribute to improving office efficiency
  • Efficiently manage multiple tasks and priorities
  • Ensure smooth patient flow throughout the day

DESIRED PROFESSIONAL SKILLS AND EXPERIENCE
  • 3+ years of experience working in a business administration role and medical setting, preferred
  • Experience working in a Vascular Surgery/Cardiology setting highly preferred.
  • Proven office management, administrative or assistant experience
  • Knowledge of office management responsibilities, systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Must be bilingual (English and Spanish)
  • Attention to detail and problem-solving skills
  • Reliable with patience and professionalism
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficiency in MS Office
