Position Summary
Radiology Partners is seeking a Medical Office Specialist who will focus on providing general business office support to the MIIGS Clinic. The ideal candidate will be experienced in handling a wide range of medical office and billing related tasks and will be able to work independently with little or no supervision. Assignments generally involve work of a confidential nature and require knowledge of the practices and procedures of the function, company services, policies and programs. The ideal candidate will be personable, driven and proactive. The Medical Office Specialist will have a willingness and ability to adapt quickly to changing needs and assignments as well as excellent communication skills. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of working in a growing office of diverse people.
Position Duties and Responsibilities
· Oversees the day-to-day general administrative tasks of the site ensuring efficient operations; coordinates all issues affecting the daily operations of the site
· Carry’s out office coordination duties including maintenance, mail, shopping, office supplies, equipment, bills, record systems and errands as needed
· Provide general assistance to visitors which includes monitoring the MIIGS entry area
- Schedule/reschedule appointments (injections, consults, procedures, scans, special procedures at hospitals)
- Check in patients, update info in chart if needed, scan ID, insurance cards, list of meds, HIPAA and consent forms.
- Verify Ins. And obtain all authorizations, fax notes to insurance company for approval when needed.
- Confirm all appointments, arrival times and prep instructions
- Check fax box for incoming faxes to schedule appointments for injections, consultations, procedures. Check outgoing faxes daily to make sure they are going through to ordering doctor’s offices.
- Check Charts to make sure we have orders, scans, insurance benefits scanned in.
- Collect copays
- Send out monthly reminder letters from Alerts in charts for patients follow up appointments.
- Send out an email to the billing department with daily copay collections and other payments. Monthly collection list
- Provide CPT codes for procedures to insurance companies, hospitals and ordering doctors’ offices.
- Monthly report with count of Myelograms and Arthrograms done with Cabrini Hospital.
- Fax orders to scheduling departments for procedures and scans that our doctors order.
- Coordination of dates and times of Myelograms/Arthrograms/and Cervical injections with Cabrini Hospital scheduling department.
- Lookup Medical records requested by doctor’s offices, attorney offices and patients.
- Fax reports and pathology results to doctor’s offices by request.
- Take messages from the nurse’s patients and call them back when they are busy.
- Chaperone for Breast Bx when a female nurse is not available.
- Print out daily schedule for CLIC front desk with our patients and mark patients who we share an appointment with.
- Help patients in/out of vehicle and bring them to the rooms when nurses are busy.
- Coordinate with Cabrini and RRMC specials departments for our doctor’s daily schedule when they have an Angio or other special procedure here before going to hospital.
- Ordering supplies for MIIGS and getting with Janie Vercher
- Posting of doctors' daily inpatient schedule from Cabrini Hospital specials department.
· Provide general support to visitors
· Performs other related duties and special projects as required
