*Onsite position located in Sarasota, FL.

Position Summary

Radiology Partners is seeking a Client Care Coordinator who provides professional, courteous, and efficient support to clients, healthcare providers, and office staff. This role ensures smooth operations in a clinical setting by managing patient care coordination, scheduling, and administrative tasks. Exceptional communication and organizational skills are essential for success in this role.

Position Duties and Responsibilities

·       Patient Support

    • Greet and register clients; verify demographic and insurance information.
    • Inform clients about financial obligations, copays, and procedure fees, if applicable (out of network information)
    • Call clients for appointment reminders and follow-up post-procedure to assess their status.

·        Scheduling and Documentation

    • Schedule consultations and procedures, ensuring eligibility verification and insurance authorization.
    • Assist Team in Coordinating care between referring physicians, clients, and internal departments.
    • Prepare and maintain client charts, including pre-procedure testing, history, consents, and physician orders.
    • Monitor and manage pending records, authorizations, and follow-up appointments.
    • Load, confirm, and upload outside imaging and records into appropriate systems (e.g., AdvancedMD, PowerShare).

·        Administrative Support

    • Answer and route phone calls professionally, sending clinical calls to triage nurse and answer all non-clinical inquiries.
    • Document all client interactions to include calls and all updates in electronic health record (EHR) systems.
    • Document in all programs as needed, Order Facilitator and Advanced MD to ensure all departments have current patient information.
    • Process incoming correspondence, including mail, fax, and emails, and distribute as necessary.
    • Maintain a clean, organized reception and clinical area, ensuring adequate stock of supplies.

·        Collaboration and Coordination

    • Communicate effectively with clients, physicians, and insurance providers to resolve issues promptly.
    • Coordinate client care with radiologists, advanced practice providers (ARNP/PA), and referring offices.
    • Follow up with authorization departments to confirm procedure approvals, when necessary.
    • Ensure proper maintenance and functionality of office and clinical equipment.

DESIRED PROFESSIONAL SKILLS AND EXPERIENCE

·        Education and Experience

    • High school diploma or equivalent required; advanced education preferred.
    • Minimum of 2 years of experience in a healthcare administrative role or similar environment.

·        Technical Skills

    • Proficient in EHR systems (AdvancedMD, PNM/SCI, PowerShare, AllScripts/Sunrise).
    • Ability to manage scheduling software (QGenda) and coordinate medical imaging uploads.
    • Familiarity with CPT/ICD coding and insurance authorization processes.

·        Soft Skills

    • Exceptional verbal and written communication skills.
    • Strong organizational skills and attention to detail.
    • Ability to work independently while collaborating effectively with a team.
    • Positive attitude, punctuality, and a commitment to confidentiality and client care.

·        Work Environment and Physical Demands

    • Fast-paced, client-facing clinical environment requiring multitasking.
    • May involve standing, walking, and lifting supplies or documents.
