POSITION SUMMARY: 

Looking for a high-performing Executive Assistant to support the VP of Strategy and key members of the leadership team. This role goes beyond traditional scheduling to include travel coordination, project support, meeting execution, and light program management.

POSITION DUTIES AND RESPONSIBILITIES: 
  • Calendar Management: Manage complex scheduling across multiple leaders, often balancing shifting priorities. 
  • Travel Coordination: Book domestic and international travel (flights, hotels, drivers, passports/visas) 
  • Meeting Planning: Coordinate offsite and virtual meetings — source venues, negotiate hotel room blocks, reserve meeting space, coordinate catering, and track RSVPs. 
  • Content Management: Send routine reminders for content updates, consolidate inputs, and follow up on deadlines. 
  • Presentation Support: Draft and format PowerPoint slides and visuals for internal and external presentations. 
  • Project Tracking & Recap Follow-Up: Attend meetings when needed, track action items, and follow up to ensure accountability. 
  • Program Support: Manage small-scale internal programs such as KPI incentive tracking. 
  • Technical Tools: Maintain trackers in Smartsheet or Excel; update or learn to support dashboards in Power BI. 
  • Vendor Coordination: Communicate with vendors, track deliverables, and maintain organized records. 
  • Ad Hoc Support: Handle confidential projects and administrative tasks as needed. 

DESIRED PROFESSIONAL SKILLS AND EXPERIENCE: 
  •  5+ years of experience supporting VP or executive-level leaders in a fast-paced environment. 
  • Proven ability to manage complex scheduling, logistics, and communication with professionalism and discretion. 
  • High level of comfort with Microsoft Office (PowerPoint, Excel, Outlook), Smartsheet, and willingness to learn Power BI. 
  • Exceptional written and verbal communication skills. 
  • Strong judgment, organizational skills, and the ability to manage multiple priorities independently. 
  •  Experience with meeting planning and coordinating logistics across departments. 
  •  Willingness and ability to travel occasionally to support offsite meetings. 

COMPENSATION: 
The salary range for this position is $62,000-$80,000. Final determinations may vary based on several factors including but not limited to education, work experience, certifications, geographic location etc. This role is also eligible for an annual discretionary bonus.
